The night before the show opens
Exhibitions in Singapore run on tight build-up windows. At Singapore Expo, Marina Bay Sands or Suntec, exhibitors usually get a set build-up period before the doors open, and anything that goes wrong in that window has to be fixed fast. The backdrop arrives with a typo. The brochures are stuck in a shipment from overseas. Sales decides at 6 pm that the booth needs a price list for a promotion nobody mentioned. Or the booth is simply bigger than the graphics that were sent.
This guide covers the print jobs that most often turn into rush orders around an exhibition or trade show, what can be done in a day, and how to brief a print shop when the show opens tomorrow morning.
What usually goes wrong
Most exhibition print emergencies fall into a few categories:
- Shipping delays: brochures or banner stands sent from a head office overseas are held in customs or delayed in transit.
- Wrong size: the booth graphics were made for a different stand, or the organiser's shell scheme panels are a different size than the designer assumed.
- Errors found on site: a wrong phone number, an old logo or a product that has been discontinued.
- Late additions: a show special, a new product, a QR code for a lead form, or a sign for a demo time.
- Running out: brochures or flyers go faster than expected and day two has nothing to hand out.
Each needs a different response, and some are much faster to fix than others.
What can realistically be printed overnight
| Item | Typical rush feasibility | What slows it down |
|---|---|---|
| Pull-up banner | Often same day if files are ready | Stand availability in the size you need |
| Fabric or PVC backdrop | Possible in a day for standard sizes | Very large sizes, frames, sewing and installation at the venue |
| Shell scheme panel graphics | Possible in a day | Exact panel sizes from the organiser's manual |
| Flyers and price lists | Same day, often within hours | Last-minute content changes |
| Brochures (folded) | Same or next day digitally, short runs | Large quantities, special finishes |
| Stitched catalogues | Next day for short runs | Page count and binding |
| Name cards for booth staff | Same day | Missing staff details |
Our article on what large format can realistically do in a day goes deeper into banners and backdrops, including the sizes that cannot be rushed.
Booth graphics on short notice
Check the exhibitor manual first
Every show publishes an exhibitor manual with panel sizes, the visible area of each panel, fixing methods allowed, and rules on what can be attached to walls. Shell scheme booths usually have panels with a frame that hides part of the graphic, so the artwork needs extra margin. Before you send anything to a printer, find the exact panel sizes in the manual and send that page with your files.
Pick the fastest material that is allowed
For panel graphics, printed paper or thin board mounted with velcro or double-sided tape is often the fastest option. Rigid foam board is quick to produce but bulkier to transport. A fabric backdrop looks better but may need a frame and more installation time. When time is short, choose the format that the venue allows and that your team can install themselves.
Pull-up banners as the backup plan
If the full booth graphics cannot be fixed in time, two or three pull-up banners can cover the gap. They are fast to produce, need no installation and can be reused at the next event.
Brochures, price lists and handouts
When the shipment of brochures does not arrive, a digital short run can replace it for the first day or two. Ask whoever designed the brochure for the print-ready PDF; a file exported from the company website will often be low resolution. If the design files are lost and all you have is a PDF, see our notes on salvaging a print job from a PDF.
For show specials, a single A4 or A5 price sheet is faster and more flexible than reprinting a brochure. Print a few hundred for day one, see how quickly they go, and order more overnight if needed. Folded brochures can be done on our fast brochure printing service in short runs.
A practical tip: add a QR code to the price sheet that points to a lead form or a product page. If anything changes during the show, you can update the page without reprinting the sheet.
Getting it to the venue
Exhibition halls have loading bays, access passes and set hours for deliveries. Before you order, find out:
- Whether the printer's courier can deliver directly to the hall during build-up, and which loading bay to use.
- Who on your team can receive the delivery, with a mobile number that will be answered.
- Whether it is faster for someone to collect from the shop in a taxi or private hire car.
Our guide to urgent print delivery to events covers the logistics in more detail.
Booth staff, badges and small items
The small items get forgotten until someone asks for them at the booth. Staff flown in from a regional office often arrive without local name cards, or with cards that show an overseas number. A short run of name cards with a Singapore contact, printed the same day, means leads can actually reach someone after the show. See our notes on last-minute business cards for meetings and events.
Other quick wins that are easy to print overnight:
- Acrylic stand inserts or tent cards for demo times and show specials.
- Product labels or shelf talkers for items on display.
- Lucky draw entry forms and a sign explaining how to take part.
- A printed lead capture sheet as a backup when the tablet or Wi-Fi fails.
Keep all these files in one folder after the show. The next exhibition will need most of them again, and a ready folder turns an overnight emergency into a routine order.
How to brief a rush exhibition job
A clear brief saves more time than any machine. Send one message with:
- The show name, venue, booth number and the deadline for delivery or collection.
- Each item, its finished size and quantity.
- Print-ready PDFs with bleed, or the original design files.
- The relevant page from the exhibitor manual for any booth graphics.
- One person who can approve proofs quickly, even late in the evening.
Keep the proof step short but do not skip it. A quick check of phone numbers, prices and spelling on a PDF proof takes minutes; a reprint on the opening morning takes much longer. Our checklist for approving a rush job safely is useful here.
